Why payment processors decline merchants
The nine reasons behind most declines, and which of them you can fix before your next application.
Declines are rarely arbitrary. Almost every one traces back to a short list of causes, most of which are fixable. Here they are, in rough order of frequency.
- Wrong acquirer for the category. Many processors exclude entire industries by policy. The application never had a chance. Fix: apply only where there is appetite.
- Incomplete documentation. Missing UBO identification, no processing statements, unsigned forms. Fix: use a checklist and submit a complete file first time.
- Website problems. No terms, no refund policy, no contact details, prices in the wrong currency, products that don't match the application. Underwriters review every page. Fix: audit before applying.
- Chargeback ratio. Above ~1% and most acquirers stop. Fix: prevention tooling and a demonstrable downward trend.
- MATCH listing. Placement on the card-scheme terminated-merchant file after a previous account closure. Fix: hard, but not always impossible — the reason code matters, and some acquirers will consider MATCH merchants with explanation.
- Licensing. Regulated activity (gaming, forex, crypto, lending) without the required licence. Fix: obtain the licence. There is no workaround.
- Jurisdiction mismatch. Company registered in one country, directors in another, customers in a third, with no clear rationale. Fix: explain the structure, or restructure.
- Financial weakness. Insufficient funds to cover reserves or liabilities. Fix: capital, guarantees or a smaller initial volume cap.
- Unclear business model. The underwriter cannot work out what you sell, to whom, and how they receive it. Fix: a one-page business summary in the application.
